Initiating Quotation/Tender Process

From the 'Quotation Invitation' page, select items from the dropdown menu for previously purchased items or add new items, filling in all necessary details such as quantity and estimated price.

Sending Invitations to Vendors:

  • Specify the opening time and date for the tender/quotation, ensuring all vendors have a fair chance to participate.

  • Send the invitation to vendors via email, which they can access through a link in their inbox.

You are then ready to send the invitation to the vendors via emails by clicking on the send button.

Time and Date of the tender/quotation:

You are requested to enter the opening time and date of the tender/ quotation.

The vendors will see this quotation format when they click on the link given in their emails:

The vendor is only required to input their unit price, terms and conditions as well as any additional comments regarding their terms and conditions. It is mandatory that the vendor attaches an approved copy of their quotation to the "Quotation Attachment" section prior to submission. Once the quotation has been attached, the vendor can click the submit button to complete the process.

*Please note that although you have received all quotations, the quoted prices are only revealed once the opening countdown has expired. Therefore, the official quotation attached by the vendor in the submission cannot be viewed before the expiration of the countdown. The system time-stamps all submissions, and we would like to inform you that the app can accept submissions past the closing time. However, how you choose to handle these late submissions is at your own discretion.
